As a Program Director or Program Administrator, there are a variety of strategies you can implement to deliver an optimal Residency Navigator experience. We included a checklist with deadlines to help you keep track of best practices.

Task One: Ensure your program’s residents and alumni have included the necessary data on their Doximity profile to participate in the Surveys

Deadline to Complete: April 19th, 2021

To ensure all of your program’s residents and alumni are eligible to participate in this year’s surveys, they must include specific data on their Doximity profile. You can communicate this information by emailing your participants with one of the email templates found in the Templates & Collateral section of the Program Director Hub.

Nomination Survey

Your alumni (current residents are not eligible to participate since they are not board certified yet) MUST include the following on their Doximity profiles:

  • Residency Program with years attended, located in the “Education & Training” section
  • Board Certification, located in the “Certification & Licensure” section with a currently valid certification (if applicable)

Important Note: The participant MUST include their residency program affiliation AND their valid Board Certification on their Doximity profile, otherwise Doximity will be unable to attribute the residency program to them or identify their board certification.

Satisfaction Survey

Your residents and alumni must include the following on their Doximity profiles:

  • Residency Program with years attended, located in the “Education & Training” section

Important Note: The participant MUST include their residency program affiliation on their Doximity profile, otherwise Doximity will not be able to attribute the participant to their respective residency program.

Task Two: Review contact information on your residency program’s page

Deadline to Complete: At your earliest convenience

Many candidates use the program contact information found on your program page to reach out to program administrators. You should verify the Program Director name and Program Coordinator name and contact information for accuracy. If there have been any changes, please contact residency@doximity.com

Task Three: Submit program spreadsheet

Deadline to Complete: April 19th, 2021

Completing the spreadsheet ensures that all of your residents and alumni (and their data points) are properly attributed to your residency program. This will allow them to participate in the survey(s), and their Doximity profile pictures will appear on your program page.

We cannot guarantee expedient processing of your program’s spreadsheet if submitted past the deadline

Task Four: Submit program summary (if necessary)

Deadline to Complete: June 1st, 2021

If you do not have a program summary on your program’s page and would like to include one or you would like to update your current program summary, please submit a summary of 150 words or less to residency@doximity.com.

Your program summary is a small paragraph that highlights special attributes about your institution and personalizes your residency program’s page. Topics can include your program’s culture, learning and training opportunities, approach to medicine, etc. The more unique and personalized your program summary is, the more value you will provide to residency candidates.

Example of a good program summary:

Mayo Clinic established one of the world’s first formalized physician training programs in 1915; since that time, the Internal Medicine Residency has had a long track record of transforming great medical students into outstanding physicians, educators, and scientists. Program highlights include: 1) 99% 3-year, 10-year, and 20-year ABIM board pass rate; 2) Robust primary care experience including longitudinal care for local residents (population ~144,000), diverse local communities (35% minority enrollment in Rochester public schools), large underserved populations including immigrants and refugees, and outpatient consultative practice of referred patients; 3) Strong productivity (average 4.7 peer-reviewed publications/ resident; national average 0.6); 4)Excellent fellowship match (96% match into one of their top 3 program choices); 5) 3-year longitudinal educator development program; and 6) Opportunity to participate in a Mayo International Health Program elective.

Task Five: Submit program logo (if necessary)

Deadline to Complete: June 1st, 2021

If your program logo needs updating, please submit a 320x320 logo to residency@doximity.com.

Please note that Doximity can only upload institution-specific logos, not program-specific logos. Example: If there is a logo unique to the Emergency Medicine program for the University of Missouri-Kansas City School of Medicine, Doximity will be unable to upload this. Doximity can only upload the logo for the University of Missouri-Kansas City School of Medicine institution, which will then apply to all residency programs associated with the institution.

Task Six: Encourage your program’s residents and alumni to participate in the Surveys [Optional]

Deadline to Complete: At your earliest convenience

Once the Nomination and Satisfaction Surveys open on April 29th, feel free to email your eligible residents and alumni to encourage them to participate. You can use the email templates and two-pager found in the Templates & Collateral section of the Program Director Hub.
